The "if you've already paid, please ignore this" line matters. Few things annoy a member more than a payment reminder after they've paid.
Step 4: 3 to 5 days after (personal, from a named person)
Hi [Name], [Trainer name] here from [Gym name]. Noticed your plan ended on [date] and wanted to check in. Has your schedule changed? If a different plan or timing would suit you better, tell me and we'll sort it out.
Hinglish version:

Notice this one doesn't mention money at all. By this point, the useful question is "why", not "when will you pay".
Step 5: Phone call, 10 to 14 days after
Keep it under two minutes:
- "Hi [Name], it's [your name] from [Gym name]. We miss you at the 7 pm batch."
- "Is there anything that stopped you from renewing?"
- Listen. Then offer the one option that matches their reason: shorter plan, freeze, different slot.
- If they say they're done, thank them and ask if you can message them about offers later.

WhatsApp: a few practical rules
WhatsApp is where many of your members will actually see a message, but a few things trip owners up:
- Broadcast lists only reach people who've saved your number. According to WhatsApp's own help page, broadcast messages are delivered only to recipients who have your number saved in their phone's address book. Ask new members to save the gym's number at joining, or send reminders one by one.

Mistakes that cost renewals
- Only one reminder, on the day. It's too late for anyone who needs to plan the payment.
- Sounding like a bank. "Your membership is due. Kindly pay immediately." Nobody enjoys reading that.
- No payment details. Every extra step (asking for the UPI ID, finding the price) is a chance to put it off.
- Reminding people who already paid. Keep your records updated the same day.
- Big discounts to everyone. If every late renewal gets 20% off, members learn to renew late. A small on-time bonus (an extra week, a free body-composition check) works better.
- Nobody owns it. Assign one person to send reminders on fixed days. "Whoever is free" usually means nobody.
