WhatsApp for Gyms: Templates, Rules and Mistakes to Avoid

WhatsApp for gyms works best as a personal, permission-based channel: renewal reminders, welcome messages, holiday timings and the odd "we miss you", sent to members who agreed to hear from you. Small gyms can run it well from the free WhatsApp Business app. Once you want automated sends at scale, the WhatsApp Business Platform (the API) applies, with opt-in rules, template categories, per-message pricing and sending limits you need to understand first.

Most of your members are probably on WhatsApp already, and many owners find people reply there far faster than to email. That's exactly why it's easy to overdo. Here's how to use it properly.

WhatsApp Business app or WhatsApp Business Platform?

The Business app gives you a business profile, quick replies and lists for organising chats, and broadcast lists. One catch many owners discover late: broadcast messages only reach people who have your number saved in their contacts. If a member never saved it, your broadcast silently doesn't arrive. Ask every new member to save the gym's number at the front desk, and check it's done.

For most gyms under a few hundred members, the Business app plus a bit of discipline is enough. The rest of this post covers both, because the policy rules apply to both.

What are WhatsApp's rules for businesses?

The WhatsApp Business Messaging Policy is the rulebook. The parts that matter most for a gym:

  • Opt-in. You may only contact people who have given you their phone number and have opted in to receive messages from you.
  • Honour opt-outs. You must respect any request to stop, whether it comes on WhatsApp or anywhere else, such as a member telling your front desk.
  • Blocks and reports hurt you. WhatsApp says its systems may limit how many messages a business can send based on users blocking or reporting it.
  • Be clear about categories. The policy recommends getting an opt-in that covers the different kinds of messages you'll send and explaining how people can opt out of specific kinds.

Meta's opt-in guidance for the Platform adds that you must clearly state the person is opting in and name the business they'll hear from. A paper signature at joining counts as an accepted method.

In practice, add a line to your joining form: "I agree to receive messages from [Gym Name] on WhatsApp about my membership, renewals, gym timings and occasional offers. I can ask to stop at any time." That covers both service and promotional messages, honestly.

How template categories work

On the Business Platform, any message you send first, outside a conversation the member started, must be an approved template. Meta sorts templates into three categories:

  • Utility. Non-promotional messages tied to the member's own account or transactions, such as a payment reminder or account update.
  • Marketing. Anything promotional or persuasive: offers, discounts, "come back" pushes. Templates mixing utility content with a promotion are treated as marketing.
  • Authentication. One-time passcodes. Gyms rarely need these.

Meta's own examples are useful here. A plain reminder that a monthly payment will be billed on a date is listed as utility. "Your subscription will expire on {{date}}! Renew today to save {{discount}}" is listed as marketing. So a simple "Your plan ends on 15 October" is closer to utility, and the moment you add "renew now and get 10% off", it becomes marketing. Meta can recategorise templates it thinks are mislabelled, so don't try to sneak offers into utility messages.

What does WhatsApp cost for gyms in 2026?

The Business app itself is free. On the Platform, Meta moved to per-message pricing on 1 July 2025: you're charged when a template message is delivered, at a rate that depends on the category and the recipient's country.

Some messages are free:

  • Any non-template reply within 24 hours of a member messaging you (the "customer service window").
  • Utility templates delivered while that 24-hour window is open.
  • Replies to people who reach you through a click-to-WhatsApp ad, within the free entry point window Meta describes.

Rates change from time to time, and Meta's pricing page lists India-specific updates for 2026, so check the current rate card or your provider before you plan a big campaign. Marketing messages cost more than utility, which is another reason to keep reminders plain.

Messaging limits

The Platform also caps how many different people you can start conversations with. Meta's messaging limits count unique recipients of business-initiated messages in a rolling 24 hours, with tiers of 250, 2,000, 10,000, 100,000 and unlimited, set at the business portfolio level. New accounts start at 250 and move up by verifying the business or by sending good-quality messages over time. For a 400-member gym, 250 a day is rarely a problem if you spread sends out.

These are starting points. Replace the brackets and keep them short.

Welcome (day 1)

Hi [Name], welcome to [Gym Name]! Your [plan] starts today. Save this number so you get our updates. Timings: [hours]. Any questions, just reply here.

Renewal reminder (7 days before)

Hi [Name], a quick reminder that your [plan] at [Gym Name] ends on [date]. You can renew at the front desk or by UPI. Reply if you'd like to switch plans.

Expiry day

Hi [Name], your membership ends today. Want us to keep your slot? Reply RENEW and we'll sort it at your next visit.

Missed you (after 10 to 14 days away)

Hi [Name], we haven't seen you for a couple of weeks. All okay? If timings are the problem, reply and we'll suggest a quieter slot.

Payment received

Thanks [Name], we've received ₹[amount] for your [plan], valid till [date].

Holiday timings

[Gym Name] timings for Diwali: [dates and hours]. Normal hours resume [date].

Sending from the app without typing every message

WhatsApp's click to chat links (wa.me) can open a chat with a message already filled in. Mistakes that get gyms muted or blocked

  1. Huge member groups. Everyone sees everyone's phone number, and one member's spam or argument lands on all of them. If you use groups, keep them to small batches or use announcement-only settings.
  2. Offers every week. People mute you, then miss the renewal reminder that actually mattered.
  3. Messaging at 11 pm. Late messages feel intrusive and invite blocks.
  4. Ignoring "stop". It breaks WhatsApp's policy and annoys the member. Note it on their record so every staff member knows.
  5. Staff using personal numbers. When the trainer leaves, the member conversations leave with them. Use one gym number.
