Gym software cost in India depends less on the headline price and more on the pricing model: a flat monthly fee, a per-member or tier-based fee, or a one-time licence with a yearly maintenance charge (AMC). On top of that come setup fees, WhatsApp or SMS message charges, any biometric hardware, and 18% GST on the software itself, which a gym charging 5% GST can't claim back. The honest way to compare is to add all of it up over 12 months for your member count.

What pricing models do gym software companies use?

Almost every product you'll be quoted falls into one of four shapes.

Flat monthly fee

One price per month, whatever your member count. Some vendors have a single plan; others have two or three plans where the cheaper ones hold back features like reminders or staff logins.

What to check: is the member count really unlimited, and which features are in the plan you're actually being quoted?

Per member or per active member

You pay a small amount for each member, or for each "active" member, every month. It sounds fair. The catch is that the bill grows exactly when the gym does well, in January and after Diwali, and "active" can mean anyone with a valid plan, anyone who checked in that month, or anyone in the database. Ask for the definition in writing.

Member tiers

A variation of per-member pricing: one price up to 100 members, a higher price up to 300, and so on. Watch the edges. A gym sitting at 290 members can be pushed into the next tier by a good month.

One-time licence plus AMC

Common with desktop software installed on the front-desk computer. You pay a larger amount once, then an annual maintenance contract for updates and support, often from the second year. The software runs on your PC, so backups, viruses and a dead hard disk become your problem unless the vendor handles them.

What extra costs sit outside the headline price?

This is where most surprises come from.

  • Setup or onboarding fee. Some vendors charge to configure plans and train staff.
  • Data import. Moving members from a register or Excel is sometimes free, sometimes billed per batch or per hour.
  • WhatsApp or SMS messages. If the software sends WhatsApp messages automatically, it usually goes through the WhatsApp Business Platform, which Meta charges for. Since 1 July 2025 Meta uses per-message pricing: you pay for each template message delivered, with rates that depend on the category (marketing, utility, authentication) and the recipient's country, and India has its own rate card. Utility templates sent inside a 24-hour customer service window are free; outside it they're charged, and marketing templates are always charged. Software vendors often add their own markup on top. Ask for the per-message rate you'll actually pay and multiply by your monthly reminders.
  • Biometric hardware. Fingerprint scanners, RFID readers, cards, turnstiles and installation. Prices vary a lot by brand and setup, so get written quotes and ask who services the device when it fails.
  • Extra branches or staff logins. Some plans charge per location or per user.
  • GST. More on this below, because it changes the maths.

How does GST work on gym software?

Software and IT services are generally taxed at 18% GST (9% CGST plus 9% SGST, or 18% IGST from another state). In the CGST rate notification 11/2017, "other professional, technical and business services" under Heading 9983, which includes the information technology services codes such as 998314 and 998315, carry 9% central tax, matched by 9% state tax. In practice, most software invoices you'll see in 2026 show 18% GST.

Here's the part many owners miss. Gym services moved to 5% without input tax credit from 22 September 2025. "Without ITC" means you can't set the GST you pay on purchases, including your software subscription, against the GST you collect from members. So if a quote says ₹1,000 + GST, your real cost is ₹1,180. If you're not GST-registered at all, the same applies. What does gym software cost over 12 months? A worked example

A hypothetical 200-member gym, comparing four pricing models. The prices below are made-up round numbers to show how the models behave, not quotes from any real product. Totals exclude WhatsApp message charges and hardware, which depend on your setup.

A few things this table shows:

  • One-off fees matter most in year one. The licence model looks expensive here, but from year two you'd pay only the AMC. Ask for a three-year total, not just year one.
  • Per-member pricing scales with you. If the same gym grows to 300 members, the per-member line goes from ₹1,600 to ₹2,400 a month, while the flat fee stays at ₹1,000.
  • Tiers jump. Cross 250 members and the tier plan moves to its next price.
  • GST is real money. On the per-member plan it's almost ₹4,000 a year you can't recover.

Now add your own extras. Say the gym sends 300 automated WhatsApp reminders a month through a paid API. Multiply 300 by whatever per-message rate your vendor quotes, then by 12. Even small per-message rates add up when you remind every expiring member, every month.

How do you judge whether gym software pays for itself?

Forget feature lists for a minute. The test is simple: does one saved renewal cover the monthly fee?

Hypothetical example: your monthly plan is ₹1,200. If a reminder sent on time brings back just one member who would otherwise have drifted off, that's ₹1,200 in a month. Any software costing less than that per month has paid for itself with one renewal. Two saved renewals is ₹2,400; at that point even most of the models in the table above are covered.

Checklist: questions to ask before you pay

  • What is the total for 12 months and for 36 months, including GST?
  • Is there a member limit? How is "active member" counted?
  • Is there a setup, onboarding or import fee?
  • Are WhatsApp or SMS messages included, or billed per message? At what rate?
  • What hardware do I need, and who services it?
  • Is it monthly, or am I locked into a year?
  • Can I export my member data if I leave?
  • Which features are in the plan I'm being quoted, not the top plan?

What it doesn't do: it doesn't collect payments, and it doesn't send WhatsApp messages on its own. Someone at the gym still taps send. If you need fully automatic WhatsApp at scale, you'll be on the Business API with message charges, from any vendor.

Put it into the table above and the hypothetical 200-member gym pays ₹399 × 12 = ₹4,788 a year before GST, at 200 members or 600.
