Fitness studio software for a boutique studio in India should do four jobs well: track memberships and session packs with clear end dates, record check-ins quickly at the door, warn you when a regular stops showing up, and help you talk to members in a way that matches your studio's tone. Booking and payments are often separate tools, and that's fine for a studio of 50 to 250 members. This guide is for functional training boxes, Pilates, boxing and MMA fitness, and HIIT studios.

How is a fitness studio different from a big gym?

A big-box gym sells access to equipment. A studio sells a coach, a session and a group of people who notice when you're missing.

  • Community is the product. Members come for the 6:30 am crew as much as the workout. When someone drops out, the group notices before your spreadsheet does.
  • Coach relationships. Members know their coach by name and often message the coach directly. Your software shouldn't get in the way of that.
  • Small capacity per session. A class of 8 to 16 is normal. Six reformers means six people, full stop.
  • Premium pricing. Studios charge more than a neighbourhood gym, so every lost member hurts more.
  • Results tracking. Members care about their deadlift, their 2 km row time or their first unassisted roll-up. Progress is visible and talked about.

Research backs the instinct that the group matters, with a caveat. A 2006 meta-analysis by Burke, Carron and colleagues found that "true groups", classes that deliberately build cohesion, did better than standard exercise classes. A 2026 meta-analysis in Nature Human Behaviour of 71 studies found group and individual programmes roughly equally effective at getting people active, while noting that programmes with deliberately fostered social interaction may do better. Putting people in a room isn't enough. The community has to be built on purpose.

Leaderboards that fit the culture

A functional box might happily put lift numbers on a whiteboard. A Pilates studio full of people rehabbing a back probably doesn't want anyone ranked on anything physical.

What do studios usually bolt on separately?

Being honest: very few small studios run everything from one system. The common setup looks like this.

  • Class booking. Either a booking-first app, or a fixed timetable plus a WhatsApp group where members say "I'm in for 7 pm". The WhatsApp version works surprisingly well until classes start to overflow.
  • Payments. UPI QR at the counter, a payment link sent on WhatsApp, or UPI Autopay for monthly plans. RBI rules allow recurring e-mandates to run without extra authentication on each debit up to ₹15,000 per transaction, after the first one is authenticated, which covers most monthly studio fees.
  • Programming and scores. Functional boxes often use a whiteboard, an Instagram story or a dedicated workout app for the day's session and members' results.
  • Accounts. Your CA's software or a simple sales register for GST. Since 22 September 2025, the GST Council's FAQ puts health clubs and fitness centres at 5% without input tax credit.

A stack of two or three tools is fine. The mistake is having none of them watch who's about to leave.

How many people can each class hold?

Know your real capacity per session before pricing or buying booking software. The lower of two limits wins.

  1. Space. The US Air Force fitness centre design guide allows about 50 sq ft per participant in group exercise rooms. There's no Indian comfort standard, so it's a reasonable starting point.
  2. Kit. Six reformers, eight rowers or ten bags. That's your cap regardless of floor.

A hypothetical example. Your functional studio has 600 sq ft of training floor. At 50 sq ft each, that's 12 people per class. You run 6 classes a day, 6 days a week, so 12 × 6 × 6 = 432 spots a week. If members train 3 times a week and classes run about 75% full on average, you can carry roughly 432 × 0.75 ÷ 3 = 108 members before the popular slots start turning people away.

How do you price a premium studio?

Don't copy a nearby gym's fee; a coach-led, 12-person class costs far more to deliver. Start from costs. A hypothetical example: rent ₹90,000, coach salaries ₹1,10,000 and other costs ₹40,000 add up to ₹2,40,000 a month. With 120 members, break-even is ₹2,000 each. If you want a 25% margin on revenue, you need ₹2,40,000 ÷ 0.75 = ₹3,20,000, or about ₹2,667 per member, so somewhere around ₹2,700 to ₹3,000 a month before GST.

If your classes have waiting lists, a booking app solves a real problem. If members quietly fade after two months, it won't. Watching attendance and renewals will.

  • No payments. Members pay you by UPI, link or cash as they do now.
  • No automatic WhatsApp. The message is ready; you tap send.
  • Session packs and score logging. Attendance is recorded by check-in, not by named class, and lift scores aren't tracked. If you sell "10 sessions" packs, ask us how that would work for your setup.

Do I need class booking software for a small fitness studio?

Only if your sessions regularly fill up and people get turned away. Many studios with 50 to 150 members run fine on fixed batches and a WhatsApp group for slot changes. Booking becomes worth paying for when the 7 pm class keeps overflowing or you run reformers or bags with a hard limit per session.

How many people should be in one functional training or HIIT class?

Work it out from your floor and your kit, not from a target number. One published design allowance is about 50 sq ft per participant in a group exercise room, so a 600 sq ft floor holds about 12 people. If you only have 8 rowers or 6 reformers, the kit sets the limit instead.

Is GST charged on fitness studio memberships in India?

Yes, if your studio is GST-registered. Since 22 September 2025 the GST Council's FAQ lists health clubs and fitness centres at 5% without input tax credit, down from 18%. Registration is needed once aggregate turnover crosses ₹20 lakh in most states. Confirm your own case with a CA.
