Gym Software Checklist: 25 Questions to Ask Before You Buy
A gym software checklist of 25 questions to ask any vendor, from check-in and renewals to DPDP data rules and lock-in, so you buy what your gym really needs.
The best gym software checklist is a list of questions you ask every vendor in the same order, then watch them answer live in a demo. Below are 25 questions grouped by front desk, members and renewals, messaging, reports, staff, data and privacy, pricing, and setup, with why each matters and what a good answer sounds like. You don't need every feature. You need the ones your gym will use every day, and clear answers on the things that hurt later: data, lock-in and hidden costs.
Why ask questions instead of comparing feature lists?
Feature lists all look the same. Every vendor says "attendance", "reminders" and "reports". The difference is in the details: does the reminder go out by itself or does someone have to press a button? Does the report show you a list of names you can act on, or just a chart?

What should you ask about the front desk and check-in?
1. How does a member check in, and how long does it take? Why: the 6 pm rush is where slow systems fail. Listen for: a specific method (QR, card, face, fingerprint) and a time in seconds, shown live.
2. What hardware do I need to buy? Why: biometric machines and RFID readers add upfront cost and repairs. Listen for: an exact list and price, and whether a phone you already own works.
3. What happens when an expired member tries to check in? Why: this is where most small gyms leak money. Listen for: the system blocks or flags them at the door, so staff don't have to argue. Our attendance systems comparison covers the options.
4. What happens if the internet or power goes down at the desk? Why: it will happen. Listen for: a clear fallback, even if that's "keep a register and enter it later".
What should you ask about members and renewals?
5. Can members see their own plan end date and visits without calling the desk? Why: fewer "when does my plan end?" calls. Listen for: a member view that doesn't need an app download and password.
6. How are renewal reminders sent, and when? Why: reminders that need someone to remember them don't get sent. Listen for: automatic reminders before expiry, and you choose the timing.
7. Does it tell me who has stopped coming? Why: members usually stop showing up weeks before they stop paying. Listen for: an inactive list with names and last visit date, not just a percentage. Work out what quiet quitting costs you with the gym churn calculator.
What should you ask about messaging and marketing?
8. Does it send WhatsApp messages automatically? Why: automatic WhatsApp sending usually needs the WhatsApp Business API and per-message charges. Listen for: a straight answer on how sending works and who pays for it.
9. Can I message a group, like everyone expiring this week? Why: you shouldn't have to copy numbers one by one. Listen for: ready segments such as expiring, inactive and expired.
10. Do messages go out in my gym's name and branding? Why: members trust a message from their gym more than one from a software company. Listen for: your logo, colours and gym name.
What should you ask about reports?
11. What will I see when I open the app at 9 am? Why: if the first screen isn't useful, you'll stop opening it. Listen for: who's inside, today's visits, who expires this week, who's gone quiet.
12. Can I see one member's full attendance history? Why: useful for freeze requests, PT disputes and "I came every day" conversations. Listen for: a day-by-day calendar with in and out times.
13. If I open a second branch, can I see both in one report? Why: multi-branch owners need a combined view. Listen for: a demo with two branches, not a promise.
What should you ask about staff and security?
14. Can staff have their own logins with limited access? Why: a shared password means you never know who did what, and you can't cut off one person when they leave. Our gym CRM explainer covers why member records need this.
15. Can the front-desk device be locked to check-in only? Why: a desk phone with full access to your member list and revenue is a risk. Listen for: a scanner mode that does only check-in.
16. Is there a record of who changed what? Why: if a member's end date quietly moves, you want to know who moved it. Listen for: an activity log, or an honest "not yet".
What should you ask about data and privacy?
Under India's Digital Personal Data Protection Act, 2023, your gym is the "data fiduciary" because you decide why member data is collected. The software company is a "data processor" working for you. Section 8(1) keeps you responsible for processing done on your behalf, and Section 8(2) says you may use a processor only under a valid contract. The DPDP Rules, 2025 add security basics in Rule 6, including security terms in contracts with processors, and breach reporting within 72 hours in Rule 7. Most of these duties apply from May 2027. 17. Where is member data stored, and who else can see it? Why: you're responsible for it. Listen for: a named hosting provider and region, and a clear statement that other gyms can't see your data.
18. Can I export all my data whenever I want? Why: your member list is the business. If you can't get it out, you can't leave. Listen for: a full export in a common format like Excel or CSV, without a fee.
19. How is face or fingerprint data handled? Why: biometrics are sensitive, and the Act requires clear notice and consent. Listen for: opt-in, consent recorded, where matching happens, and how a member switches it off.
20. What happens to our data if we stop using you? Why: Section 8(7) requires erasure once the purpose is over, unless another law needs you to keep it. Listen for: a written deletion process and timeline in the privacy policy.
What should you ask about pricing and contract?
21. What's the total monthly cost for my gym, including everything? Why: per-member pricing, add-ons and SMS packs add up. Listen for: one number, in writing.
22. Is there a lock-in or an annual-only plan? Why: you should be able to leave if it doesn't work. Listen for: monthly billing, or a clear exit clause.
23. Does it collect payments, and what does that cost? Why: payment collection usually comes with gateway fees. Listen for: the fee per transaction, or a clear "we track end dates, you collect".
What should you ask about support and setup?
24. Who moves my existing members in, and from what format? Why: typing 300 members by hand is where switching stalls. Listen for: they import it for you, from Excel or even photos of the register.
25. How soon can we go live, and how do I get help? Why: a slow setup costs you a season. Listen for: a timeline in days and a real person you can reach.

What features should gym management software have?
At minimum: fast check-in that stops expired members, a member list with plan end dates, automatic renewal reminders, a list of members who have stopped coming, staff logins with roles, and a clear answer on where your data is stored and how you can get it out.
How do I compare two gym software vendors fairly?
Ask both the same questions in the same order, write the answers down, and ask each to show you the feature live in the demo rather than describe it. A feature you didn't see working is a feature you shouldn't count.
Who owns member data in gym software?
Under the DPDP Act, the gym decides why member data is collected, so it is the data fiduciary and stays responsible for it. The software company processes it on the gym's behalf. Get the vendor's privacy terms, export and deletion process in writing before you sign.
