# Yoga Studio Management Software: Attendance, Plans, Reminders

Yoga studio management software should do four things for a small Indian studio: keep each student's plan and end date, record who attended which batch without a register, remind students politely before their plan runs out, and spot regulars who have quietly stopped coming. You don't need a heavy system built for big gym chains. ## How is a yoga studio different from a gym?

A gym is open all day and members walk in whenever they like. A yoga studio runs on a timetable. That one difference changes almost everything about how you track people.

- **Batches and time slots.** Your students belong to the 6 am, 7:30 am or 6:30 pm batch. The teacher notices when a regular is missing because the room has a fixed set of faces.
- **Class packs as well as monthly plans.** Many studios sell "12 classes in 6 weeks" or "8 classes a month" alongside unlimited monthly plans. A gym rarely counts visits like this.
- **Teacher-led, smaller groups.** A batch of 10 to 20 people is normal. Each student is known by name, so a cold, robotic reminder feels out of place.
- **Home and online students.** Some studios also teach on video calls or go to students' homes. Those students never pass a front desk.
- **A calm member experience.** Nobody wants to queue at a counter or argue about dues right before savasana.

## What should yoga studio software actually do?

Here's a practical split for a single studio with one or two rooms.

If your batches rarely fill, you probably don't need booking.

## How do you track yoga attendance by hand?

Before buying anything, here's a manual system that works for a studio under about 60 students.

1. **One sheet per batch per month.** Names down the left, dates across the top. The teacher ticks at the start of class.
2. **A master list.** One Excel or Google Sheet with name, phone, batch, plan type, start date, end date and classes used (for packs).
3. **Every Sunday, 15 minutes.** Copy the week's ticks into the master list, update the "classes used" column for pack students, then sort by end date.
4. **Message two groups.** Anyone whose plan ends in the next 7 days, and anyone you haven't seen in 10 days.

## Register, Excel or software: which suits a yoga studio?

There's no wrong answer here. A booking app makes sense when your 7 am batch has a waiting list. If your real problem is "people forget to renew and drift off", gym-style software that watches expiry and attendance fits better.

## How does GST apply to yoga classes?

If your studio is GST-registered, yoga classes are taxed at **5% without input tax credit** from 22 September 2025. The GST Council's [official FAQ](https://gstcouncil.gov.in/sites/default/files/2025-09/faq_0.pdf) says "beauty and physical well-being services including services of health clubs, salons, barbers, fitness centers, yoga, etc. will attract GST rate of 5% without ITC", down from 18%.

A hypothetical example. You sell a 12-class pack for ₹3,000, GST-inclusive. The taxable value is ₹3,000 ÷ 1.05 = ₹2,857.14, and GST is ₹142.86 (₹71.43 CGST plus ₹71.43 SGST in your own state). You can check any price with the free [gym and studio GST calculator](/tools/gym-gst-calculator/).

You only need to register once your aggregate turnover crosses ₹20 lakh in a financial year (₹10 lakh in a few special category states), under [Section 22 of the CGST Act](https://taxinformation.cbic.gov.in/content/html/tax_repository/gst/acts/2017_CGST_act/active/chapter6/section22_v1.00.html). **Charitable trusts are different.** [CBIC Circular No. 66/40/2018-GST](https://gstcouncil.gov.in/sites/default/files/2024-06/circular-no-66.pdf) states that services by an entity registered under Section 12AA of the Income Tax Act "by way of advancement of religion, spirituality or yoga are exempt", including fees for yoga programmes and camps meant for that purpose. The same circular says fitness classes such as aerobics or dance remain taxable. A private studio run as a business does not get this exemption. If you run classes through a trust, get a CA to confirm your position as of 2026.

## Do yoga teachers need certification?

The [Yoga Certification Board](https://yogacertificationboard.nic.in/need-of-certification-accreditation/), set up by the Ministry of Ayush, certifies yoga professionals at levels including Yoga Protocol Instructor, Yoga Wellness Instructor, Yoga Teacher & Evaluator and Yoga Master. Its page doesn't say certification is compulsory to teach. Still, a YCB certificate is a simple, government-backed thing to check when you hire.

## What keeps yoga students coming back?

Yoga students rarely quit loudly. They miss a week for a wedding, then another for a cold, then they're gone. Three habits help:

- **Notice absence early.** A short "we missed you in the 7 am batch" message after a week away works better than a renewal reminder a month later.
- **Remind before the plan ends.** Five to seven days before is enough time to renew without pressure.
- **Make progress visible.** Students like seeing they've attended 20 classes this term. Keep the focus on consistency rather than calories, though.

## How MyGymGate handles a yoga studio

6. **Streaks.** Students earn streaks and points for visits, with rest days allowed, which suits a three-days-a-week yoga routine.
7. **Tracker link.** Every student gets a private link showing their visits, streak, plan and QR pass. No app to download, no login.

### What MyGymGate doesn't do for a studio

Being straight with you:

- **No class booking or slot scheduling.** It is not listed as a feature. Students can't reserve a mat in the 7 am batch through MyGymGate. If you need that, ask us on a demo call before you decide, rather than assuming.
- **Batch-wise rosters and class-pack counting.** Attendance is recorded by check-in time, not by a named batch. If you sell "12 classes" packs or want batch lists, ask us how that would work for your setup.
- **No payment collection.** Students pay you by UPI or cash as they do now.
- **No automatic WhatsApp.** The message is filled in; you tap send.
- **Online students.** QR and face check-in are for people at your door. Students who only join by video call can still have plans and get reminders, but their attendance isn't captured automatically.

### Do yoga classes in India attract GST?

Yes, for a registered studio. Since 22 September 2025, the GST Council's FAQ lists yoga with health clubs and fitness centres at 5% without input tax credit. Yoga programmes run by trusts registered under the Income Tax Act for the advancement of yoga can be exempt. Confirm your case with a CA.
