# WhatsApp Reminder for Gym Fees: How to Send Without the API

You can send a WhatsApp reminder for gym fees without the Business API by sending each message yourself from the WhatsApp Business app, ideally using a click-to-chat link (`wa.me/<number>?text=...`) that opens the member's chat with the reminder already typed. A person still presses send, so there's no per-message bill from Meta and no template approval, and for a gym with a few hundred members it takes about ten minutes a day. The API is worth it only when you need fully automatic sending at a volume your desk can't handle.

## What are the three ways to send WhatsApp reminders?

### 1. The WhatsApp Business app

This is the free app you install on the gym's phone. Meta describes it as [built with the small business owner in mind](https://whatsappbusiness.com/products/business-app/), with a business profile, automatic greeting and away messages, quick replies and labels.

You type or paste each reminder and press send. It's personal, it costs nothing per message, and replies land in the same chat.

The catch is bulk. The app has broadcast lists, but WhatsApp's help centre is clear: [only contacts who've added your number to their phone's address book will receive your broadcast message](https://faq.whatsapp.com/653415899610349/?locale=en_US). Each list holds [up to 256 contacts](https://faq.whatsapp.com/861663048350950/?locale=en_US), and the same page says people in some countries may see a monthly broadcast limit as that feature rolls out. Your phone will happily show a broadcast as "sent" to a member who never saved your number. It just never reaches them.

### 2. The WhatsApp Business Platform (the API)

This is the version software uses to send messages automatically. You either connect directly through Meta's developer tools or go through a [Meta Solution Partner](https://developers.facebook.com/docs/whatsapp/solution-providers), which handles setup, billing and support for you.

Two things change once you're on the Platform:

- **Templates need approval.** Any message you start, outside a 24-hour window after the member last wrote to you, has to be a pre-approved template. Meta's docs say [templates must have a status of APPROVED before they can be sent](https://developers.facebook.com/docs/whatsapp/business-management-api/message-templates/), and that [template messages are the only type that can be sent outside a customer service window](https://developers.facebook.com/docs/whatsapp/business-management-api/message-templates/). Review can take up to 24 hours, and templates can later be paused if quality drops.
- **You pay per message.** Since 1 July 2025, [Meta charges per delivered template message](https://developers.facebook.com/documentation/business-messaging/whatsapp/pricing), with the rate depending on the category (marketing, utility or authentication) and the recipient's country code. Non-template replies inside the 24-hour window are free, and so are utility templates sent while that window is open.

For India specifically, Meta's pricing page (checked October 2026) notes that the India marketing rate went up on 1 January 2026 and that INR billing launched the same day, with eligible Indian businesses required to move their accounts to INR by 31 December 2026. Rates change, so get today's numbers from the rate card or your provider before you budget. A plain fee reminder usually fits the utility category; add a discount and it becomes marketing, which costs more.

### 3. Click-to-chat links

This one is often overlooked. WhatsApp's [click to chat feature](https://faq.whatsapp.com/5913398998672934/?locale=en_US) lets you open a chat with any WhatsApp number without saving it as a contact. The official format is:

`https://wa.me/whatsappphonenumber?text=urlencodedtext`

The help page says to use the full number in international format and omit any zeroes, brackets or dashes. For an Indian mobile, that's 91 followed by the 10 digits. The text has to be URL-encoded, so spaces become `%20`:

`https://wa.me/919876543210?text=Hi%20Ravi%2C%20your%20plan%20ends%20on%2015%20Oct.`

Tap it and WhatsApp opens Ravi's chat with that sentence sitting in the typing box. You check it and press send. Nothing goes out on its own. Because it's a normal one-to-one chat, the member doesn't need to have saved your number, which is the exact gap broadcast lists leave.

You can build these links in a Google Sheet with a formula (phone column plus an encoded message column), or use software that builds them for you.

## Which option should a gym use?

For most independent gyms, click-to-chat links on the Business app are the sweet spot. They're free, personal and they reach everyone. The API starts to make sense when you're sending hundreds of messages a day and nobody has ten minutes to tap through them.

## Can WhatsApp ban your gym's number?

Yes, and it rarely happens because of fee reminders to your own members. It happens because of how people send.

The [WhatsApp Business Messaging Policy](https://whatsappbusiness.com/policy/) says you may contact people only if they gave you their number and opted in, that you must not spam or surprise people, and that you must respect any request to stop, whether it comes on WhatsApp or at your front desk. It also says users can block or report businesses, that WhatsApp's systems may limit how many messages a business can send based on that feedback, and that WhatsApp may limit or remove access for businesses that break the rules.

What usually gets a number into trouble:

- **Bulk messages to people who never joined.** Old enquiry lists, bought numbers, a neighbour's society group.
- **Unofficial bulk-sender tools.** Browser extensions or apps that blast hundreds of chats from one number aren't approved routes, and the policy warns against messaging people at scale in an unauthorised way.
- **Too many messages.** Three reminders in two days, or offers every week, gets you muted, then blocked.
- **Ignoring "please stop".** One annoyed member reporting you does more damage than a missed renewal.

Fee reminders to current members, one at a time, spaced out, with a clear way to stop, are about as safe as business messaging gets.

## A 10-minute daily routine for the front desk

This works with a register, a spreadsheet or software. Do it at the same quiet time every day, say 11 am after the morning rush.

1. **Pull two lists (2 minutes).** Members whose plan ends in the next 7 days, and members whose plan ended in the last 7 days and haven't renewed. If you track dues separately, add anyone with a pending balance.
2. **Skip the ones already handled (1 minute).** Anyone who renewed at the desk this morning, anyone you messaged in the last 3 days, anyone who asked not to be messaged.
3. **Send the reminders (5 minutes).** One click-to-chat link per member, name and end date filled in. Read it, press send, move on. Around 15 to 20 members fit in five minutes once you get the rhythm.
4. **Note what you did (1 minute).** A tick in the sheet, or a label in the Business app such as "Reminded 11 Oct".
5. **Reply to yesterday's replies (1 minute).** "Can I pay on Saturday?" deserves an answer today. Those replies also open a free 24-hour window if you ever move to the API.

A simple timing pattern many gyms use: one message 7 days before expiry, one on the day, one 3 days after. Then stop and hand them to your win-back list. ### Why bother doing it daily?

A hypothetical example. Say your gym has 200 members on ₹1,000 a month, and without a routine 4 members a month quietly don't renew because nobody reminded them. - Opt-in line on the joining form that mentions WhatsApp reminders.
- Gym's number saved by members at joining (helps broadcasts, though links don't need it).
- One fixed time each day for reminders.
- Messages personalised with name and end date, no offers in plain fee reminders.
- No more than three reminders per renewal.
- Opt-outs recorded and respected.
- No bulk-sender extensions on the gym's phone.
