# How to Hire a Gym Trainer: Interview Questions and Trial Session

To hire a gym trainer well, write a job post that states the role, shifts, fixed pay and PT commission, screen for a verifiable certificate, a current CPR and first aid card, references and police verification, then interview with structured questions and finish with a paid trial session scored on a written rubric. Whoever coaches a real member safely, clearly and kindly in that trial gets the offer, not whoever talks best in the interview. Put the terms in an appointment letter on day one and run a planned first 30 days.

## What should a gym trainer job post say?

A vague post brings in everyone and tells you nothing. Include:

- **Role:** floor trainer, personal trainer, or both.
- **Shifts:** exact hours, for example 6 am to 1 pm, plus Sundays.

- **Must-haves:** a recognised certificate, current CPR/first aid, a paid trial session.
- **How to apply:** a WhatsApp number plus "send your CV, certificate and one line on why you train people".

That last line filters well. Someone who can't write one honest sentence about coaching rarely explains a deadlift cue well either.

## Where do gym owners usually find trainers?

There's no reliable national data on this, so reason it out from what each channel gives you:

## What should you screen before the interview?

Do these before you spend an hour interviewing.

### 1. Certification you can verify

A WhatsApp photo of a certificate proves nothing. Check it on the issuing body's own site. ### 2. CPR and first aid

Treat a current adult CPR/AED card as non-negotiable for anyone on your floor. Check the card's expiry date.

### 3. References

Call a previous gym manager and, if possible, a past PT client. Ask "Would you hire them again?" and "How did they handle a member who got hurt?"

### 4. Police verification

The Ministry of Home Affairs' [Digital Police Portal](https://digitalpolice.gov.in/), maintained by NCRB, lets citizens seek verification of prospective employees through their state's police services. Forms, fees and timelines differ by state. Get the candidate's written consent first and tell them it's standard for every hire.

## 20 interview questions to ask a gym trainer

Ask everyone the same questions in the same order, and take notes, so you can compare fairly.

### Safety

1. **A member says they feel dizzy and their chest is tight mid-set. What do you do?** Good answer: stop the exercise, sit them down, stay with them, call emergency help (112 is India's [national emergency number](https://static.pib.gov.in/WriteReadData/specificdocs/documents/2025/nov/doc20251124704801.pdf)), and be ready to start CPR and use the AED.
2. **What do you ask a new member before their first workout?** Good answer: injuries, conditions, medicines, pregnancy. Bonus for naming a screening form like the [PAR-Q+](https://eparmedx.com/).
3. **How do you spot a bench press safely?** Good answer: agree reps first, hands near the bar, never walking away mid-set.
4. **A regular is lifting with clearly bad form and won't listen. What now?** Good answer: a private word, a lighter regression, the manager if it stays unsafe.

### Programming

5. **Write a first-week plan for a 45-year-old office worker who has never trained.** Good answer: simple full-body sessions, light loads, learning form.
6. **How do you decide when a client should add weight?** Good answer: all reps done with good form and some in reserve, then small jumps.
7. **A client wants to lose 10 kg before a wedding in six weeks. What do you say?** Good answer: honest about safe rates, no crash diet.
8. **How would you adapt a squat for someone with knee pain?** Good answer: a reduced, pain-free range, and a physio or doctor if pain persists. No diagnosing.

### Client handling

9. **A PT client keeps cancelling. How do you handle it?** Good answer: a friendly check-in to find the real reason, then a better slot.

12. **How do you track a client's progress?** Good answer: measurements, strength numbers, regular check-ins.

### Sales

13. **How would you offer PT to a member who has never asked?** Good answer: helps first, then offers a trial session. No pressure.

15. **A client wants to stop PT. What do you do?** Good answer: asks why, accepts it, stays friendly.
16. **How would you get a member's friend to try the gym?** Good answer: a natural ask, never nagging.

### Attitude

17. **What did you learn most recently about training?** Good answer: something specific, with a source.
18. **Tell me about a time you made a mistake with a client.** Good answer: owns it and the fix. "Never" is a red flag.
19. **What do you do on the floor when you have no client?** Good answer: walks the floor, helps new members.
20. **Why do you want to work here and not somewhere else?** Good answer: specific to your gym.

## How should you run a paid trial session?

Watch them coach. Pay a fixed fee, agreed before the day, hire or not. It's fair, and good trainers with other offers will turn up.

**Format (about 60 to 75 minutes):**

1. **10 minutes:** consultation with a volunteer playing a beginner.
2. **35 to 45 minutes:** coach a session with a squat or hinge and a push.
3. **10 minutes:** walk the busy floor. Do they spot unsafe lifting?
4. **5 to 10 minutes:** debrief. What would they change?

Score each area from 1 (poor) to 5 (excellent):

The maximum is 30. One simple rule: hire only above 22, and never anyone who scores 1 on safety, whatever the total.

## What are the red flags in a trainer?

Any one of these should end the process:

- **Unsafe cues:** heavy loading on a beginner, "no pain no gain" about sharp pain.
- **Supplement pushing:** selling products to first-week members, or their own stock without your approval.
- **Body-shaming:** comments on weight or looks, even "as motivation".
- **Medical overreach:** diagnosing injuries or telling people to stop prescribed medicine.
- **Boundaries:** touching without asking, private messages to members.

## What goes in the offer and appointment letter?

The four labour codes came into force on [21 November 2025](https://www.pib.gov.in/PressReleasePage.aspx?PRID=2192463), and the government lists mandatory appointment letters for all workers among the changes. The specific duty sits in [section 6(1)(f) of the OSH Code, 2020](https://prsindia.org/files/bills_acts/acts_parliament/2020/Occupational%20Safety,%20Health%20And%20Working%20Conditions%20Code,%202020.pdf): every employer must issue a letter of appointment to every employee, "with such information and in such form as may be prescribed", and existing staff without one had to get it within three months of the Code starting. The Code defines an "establishment" with a ten-worker threshold, so tiny gyms should check how it applies, but give everyone a letter anyway.

Put these in it:

- Name, designation (floor trainer or personal trainer), start date
- Shift timings, weekly off and the work location
- Fixed monthly pay and the exact PT commission formula
- Probation period and notice period on both sides
- Duties, including floor duties when not with a client
- Code of conduct: no supplement sales without approval, a harassment clause, rules on contacting members
- Pay date. Under [section 17 of the Code on Wages, 2019](https://www.indiacode.nic.in/bitstream/123456789/15793/1/aA2019-29.pdf), monthly-paid staff must be paid before the seventh day of the following month, and within two working days if they leave.

Rules and state formats are still being notified in many places, so confirm yours with a lawyer or CA as of 2026.

## Probation and the first 30 days

A simple plan:

- **Week 1:** shadow your best trainer; learn the equipment, emergency plan and house rules.
- **Week 2:** solo floor shifts, daily five-minute check-in.
- **Week 3:** first PT clients; watch one session.
- **Week 4:** review against the trial rubric and member feedback.

## How do you keep good trainers?
